Learn how to migrate from an old version to a new version
- Adjusted giving statement to better align donor address with standard window envelopes when printed.
- If users print via the Google Sheets file menu (not the browser file menu!) with print settings: letter size, portrait, fit to width, normal margins (most of these are the default print settings), then makes the first fold near the faint gray line (above Amount), the donor’s address should be visible in a standard window envelope.
- This assumes the user does not make any adjustments to columns or rows other than choosing a tax year and donor from their respective dropdowns.
- Added a Date Controls worksheet to allow users to decide when to "publish" a month to their standard reports.
- Reports without their own period filters (cell A1) can now have their date range limited by the date control dropdown on the Date Controls worksheet.
- Setting to “Current Date” (the default) retains the report behavior from previous versions.
- This can allow users to wait until a month is completed and reconciled before “publishing” the data to these reports.
- Added a new Monthly Cash Flow report showing each month’s beginning and ending balance, along with monthly revenue, expenses, and net change for the month.
- User guide has been updated to reflect changes for version 2026.01

- Moved critical formulas from the Journal worksheet to hidden “admin” worksheets to improve stability and improve performance - reducing the chance that users could inadvertently alter critical formulas previosly hidden on the Journal worksheet.
- Removed the running balance column from Journal – replaced with single value calculation for the current journal balance at top of the Journal (starting fund balances + net change from all journal transactions). Improves stability and performance.
- Added instructions/features for users to convert to their local date format using localization.
- Added a translations table. This allows users to change terminology used throughout the workbook: either to their native language, or to their preferred English terminology.
- Other minor adjustments to improve stability and performance.
- User guide has been updated to reflect changes for version 2025.01

Learn how to migrate from an old version to a new version
- You can now enter up to 100 funds:
- Each fund will be classified as “restricted” or “unrestricted”.
- A new required column was added to the Journal where you’ll select a fund for each transaction.
- Many new reports were added to track fund balances and fund activity.
- Donor statements will now show the fund names rather than account names.
- See the funds user guide for more info.
- A new column has been added to the Journal allowing you to indicate if revenue from a donor is not tax deductible (quid pro quo). Classifying income as not tax deductible in the journal will exclude the amount from their donor's tax statement.
- Enhancements to budget reports:
- Annual and year-to-date budget reports have been broken out into separate reports for easier readability.
- The difference column in budget reports will now show in green or red as a visual indicator showing if you are over or under budget.
- You now have greater flexibility for how/when your year-to-date budget values will increase. You can choose to have them increase by 1/12th the annual budget on the first day of the month, or by 1/12th the annual budget on the last day of the month, or by 1/365th daily. This is controlled in the Settings sheet.
- A link has been added to the “Date” header in the Journal. Clicking this link will take you to the last transaction entered in your Journal.
- Critical warnings and alerts:
- On the Accounts/Budget sheet, if you enter a negative annual budget for a revenue account, or a positive annual budget for an expense account, the value will be highlighted in red (critical warning).
- If you enter a date in your Journal that is outside the fiscal year, it will be highlighted in red (critical warning).
- If you choose a revenue account in your journal, but enter a negative amount, the amount will be highlighted in yellow (alert). Similarly, if you choose an expense account, but enter a positive value, it will be highlighted in yellow (alert). Alerts can be ignored in some cases (refunds, accruals).
- Most critical formulas have been hidden to reduce the chances of accidentally altering them. All formulas have also been “protected” so a warning will pop-up if you do something that could alter them.
- The Check and Notes columns have been added to donor statements (but can easily be hidden if desired).
- A new sheet to track “in-kind” giving has been added.
- Improved help:
- The most critical information for using the templates effectively has been added to the templates themselves.
- There is now a welcome sheet, with a quick overview of how to get setup, with links to the sheets required for setup (and a recommended order of setup).
- There are also a couple sheets explaining reports.
- Many column headers now have helpful notes if you hover or click on them.
- Links to relevant sections of the user guide have been added throughout.
- User guide has been updated to reflect changes for version 2024.02
